TERMS OF SERVICE

Welcome to Cubed! 2026 (“Cubed Events Limited“, “we”, “us”, “our”). These Terms of Service (“Terms”) govern your access to and use of our services, including the Cubed! 2026 event, VIP packages, and any related digital content or benefits (together, the “Services”). By purchasing or using our Services, you agree to be bound by these Terms. Your use of the Services is also governed by our Privacy Policy, which explains how we handle your personal data.

A. Purchases & Payments

  1. Payment Processing
    • All payments are processed securely through third-party payment providers (such as Stripe).
    • By making a purchase, you authorise us (and our third-party processors) to charge the payment method provided for the full amount of your order.
  2. VIP and Hotel Room Packages & Access
    • VIP and Hotel Room packages provide access to digital benefits (such as server perks, exclusive content, and special event access).
    • Delivery of these benefits is digital and takes effect immediately upon purchase.
  3. Early-Bird VIP Pricing
    • We may offer promotional “early-bird” pricing on our VIP packages.
    • Early-bird pricing is available for purchases completed until 1 September 2026. However, it may be extended to a later date at the discretion of Cubed Events Limited.
    • After this date, VIP packages will automatically be charged at the applicable standard price.
    • To secure early-bird pricing, you must complete your purchase before the expiry date.
  4. Sponsorship Purchases
    • Sponsorship Periods. Sponsorship purchases tied to specific days of Cubed! 2026 will run as follows (all times in UTC):
      • Friday, 2 October 2026: 5:00 PM – Saturday, 3 October 2026: 1:00 PM;
      • Saturday, 3 October 2026: 1:00 PM – Sunday, 4 October 2026: 1:00 PM;
      • Sunday, 4 October 2026: 1:00 PM – Monday, 5 October 2026: 1:00 AM.
    • Submission Requirements. All creative materials (including but not limited to artwork, copy, video, and audio) must be delivered no later than 26 September 2026 at 5:00 PM UTC, and must meet the following technical specifications:
      • in-game text: up to 200 characters, including formatting codes;
      • video: max 30 seconds, h.264 codec, 1920x1080p resolution, 30 fps, and high-quality audio (clear, balanced sound).
      We reserve the right to refuse, reject, or require modification of any content that:
      • fails to meet the technical specifications or quality standards above;
      • is inappropriate, offensive, infringing, or otherwise unsuitable for our audience;
      • or is submitted after the stated deadline.
    • Placement and Frequency. Sponsorship content will be included in livestream and in-game advertising placements. While we will use commercially reasonable efforts to include sponsorship content:
      • livestream ads are aimed to run at least once per hour;
      • in-game ads are aimed to run approximately once every five (5) minutes;
      • all ads run within a playlist rotation, and the frequency of any individual ad may vary depending on overall ad volume.
    • Performance Disclaimer. We do not guarantee any specific results, impressions, views, clicks, or engagements. Sponsorship purchases are non-refundable and provided strictly on a placement basis.
    • Limitation of Liability. We shall not be liable for indirect, incidental, or consequential damages, including without limitation lost revenue, reputational harm, or expected outcomes arising from sponsorship placements.
    • Rights and Indemnity. By submitting sponsorship content, you represent and warrant that you hold all necessary rights, licenses, and permissions (including without limitation copyright, trademarks, music rights, and publicity rights) to grant us a non-exclusive, royalty-free license to display, reproduce, and transmit such content in connection with Cubed! 2026. You agree to indemnify, defend, and hold us harmless against any claims, damages, penalties, losses, or liabilities (including without limitation demonetisation, takedown requests, or third-party claims) arising from or relating to your content.
  5. Booths
    • Booth Tiers. We offer Small Booths free of charge, as well as paid booth tiers (including “Big Booth” and “Hall”) and optional paid “Booth Extras” that provide additional features or placements. The features included with each tier are described at the point of purchase.
    • Allocation. Booths, paid tiers, and Booth Extras are subject to availability and are allocated on a first-come, first-served basis. We may, at our reasonable discretion, limit the number of booths available.
    • Content Standards. All booth content (including but not limited to artwork, copy, builds, signage, and links) must meet the same content and conduct standards set out in these Terms. We reserve the right to refuse, reject, modify, or remove any booth or booth content that is inappropriate, offensive, infringing, or otherwise unsuitable for our audience, or that breaches these Terms.
    • Rights and Indemnity. By submitting booth content, you represent and warrant that you hold all necessary rights, licenses, and permissions to grant us a non-exclusive, royalty-free license to display, reproduce, and transmit such content in connection with Cubed! 2026, and you agree to indemnify, defend, and hold us harmless against any claims arising from or relating to your booth content on the same basis as set out under Sponsorship Purchases above.
    • Delivery. Paid booths and Booth Extras are delivered digitally and take effect immediately upon purchase, unlocking the relevant booth allocation, build access, and customisation features. Booths are subsequently made available within the event venue for other attendees to explore during Cubed! 2026. By completing your purchase you expressly consent to immediate access and agree to waive your right to cancel under the 14-day cooling-off period.
    • Refunds. Paid booths and Booth Extras are non-refundable and provided strictly on an allocation and placement basis, except where required by law. We do not guarantee any specific results, impressions, views, clicks, or engagements.
  6. CubeCoins
    • CubeCoins are a virtual in-event currency. They have no real-world or monetary value, are not redeemable for cash or any other tender, and cannot be exchanged, sold, or refunded.
    • CubeCoins are personal and non-transferable, and may only be used within Cubed! 2026 in the ways we make available from time to time.
    • CubeCoins do not expire for the duration of the event, but we do not guarantee that CubeCoins, or any items or benefits obtained with them, will remain available beyond the event.
    • We reserve the right, at our reasonable discretion, to introduce, modify, or discontinue the CubeCoin system (in whole or in part), and to change the items, benefits, or features that CubeCoins can be used for. Where we discontinue the system or remove a benefit, we will use reasonable efforts to give notice where practicable.
    • We may remove or adjust CubeCoins that were obtained through fraud, error, or a breach of these Terms. Save for these circumstances, we will not revoke CubeCoins that you have purchased.

B. Refunds & Cancellations

  1. Digital Products and Statutory Rights
    • Under UK consumer law, digital products normally include a 14-day cooling-off period. However, because VIP packages and digital benefits are delivered immediately after purchase, by completing your purchase you expressly consent to immediate access and agree to waive your right to cancel under the cooling-off period.
  2. No Refunds Policy
    • Except where required by law, all purchases are final and non-refundable.
    • Cancellations by you will not entitle you to a refund or credit.
    • This policy does not affect your statutory rights in respect of faulty or mis-described digital content.
  3. Event Changes or Cancellation
    • If Cubed! 2026 is cancelled or materially altered, we may, at our sole discretion, provide a refund, credit, or alternative access.

C. Acceptable Use

  1. You agree not to misuse the Services, including (but not limited to):
    • Attempting to disrupt or hack servers,
    • Sharing VIP access or benefits outside of permitted use,
    • Harassment, abuse, or inappropriate behaviour within the event platform.
  2. We reserve the right to suspend or terminate your access to the Services, and to revoke any digital benefits, without refund, where we reasonably determine that you have breached these Terms.
  3. This includes the right to remove or ban you from the Cubed! 2026 event and its associated servers, platforms, and community channels (such as Discord), and to withdraw access to any packages, booths, perks, or other benefits you hold, without refund or compensation, where we reasonably determine that you have breached these Terms or engaged in harassment, abuse, or other inappropriate behaviour.

D. Minors

  1. You must be at least 13 years old to use the Services, including to claim a ticket or join our server. The Services are not directed at children under 13. Further detail on how we handle age and personal data is set out in our Privacy Policy.
  2. If you are under 18, you may only use the Services and make purchases with the involvement and consent of a parent or legal guardian.
  3. By making a purchase, you confirm that you are either at least 18 years old, or that you have the permission of a parent or guardian who has authorised the use of the payment method provided.
  4. Parents and guardians are responsible for purchases made by minors in their care and for supervising their use of the Services.

E. Licensing & Intellectual Property

  1. All intellectual property relating to Cubed! 2026, including digital assets, branding, and event materials, remain the property of Cubed Events Limited or its licensors.
  2. Your purchase provides a personal, non-transferable licence to access the digital benefits included in your package.

F. Limitation of Liability

  1. To the maximum extent permitted by law, Cubed Events Limited shall not be liable for indirect, incidental, or consequential damages arising from your use of the Services.
  2. Our total liability for any claim shall not exceed the total amount paid by you for your VIP package or Services.

G. Governing Law & Jurisdiction

  1. These Terms are governed by and construed in accordance with the laws of England and Wales.
  2. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

H. Changes to These Terms

  1. We may update these Terms from time to time. The date at the top of this page shows when they were last revised.
  2. For minor changes, posting the updated Terms on this page is sufficient notice.
  3. For material changes, we will take reasonable steps to notify you before they take effect — for example, by email to registered purchasers or by a notice on our website or community channels (such as Discord).
  4. Changes apply on a going-forward basis only and do not affect the Terms that applied to any purchase you had already completed at the time the changes took effect.
